San Diego hotel meetings, venue by venue
Every ballroom looks the same on a floor plan. They are not the same to set up in. This is what we have learned delivering into the rooms San Diego actually uses, and the questions worth asking before you sign for one.
Start with the in-house AV company
Every large hotel has an audio-visual partner in the building, and their agreement usually covers rigging, power distribution, the house sound system and often the internet. Find out who it is and what exactly they hold exclusivity on before you sign for the space, because it decides what you are allowed to bring and what you have to buy from them. In our experience the line falls in a predictable place: rented computers, iPads and phones are equipment for your attendees and are normally yours to bring, while anything hung from the ceiling or plugged into the house system is not. Predictable is not the same as guaranteed, so get it in writing. This is the most common ambush on a hotel event budget and it is entirely avoidable with one email.
Hilton San Diego Bayfront
Attached to the Convention Center by a pedestrian bridge, which makes it the headquarters hotel for the biggest shows in town. 1,190 rooms and around 165,000 square feet of indoor meeting space, a high ratio of meeting space to bedrooms, which is why it wins large medical and technology conferences. The Sapphire Ballroom is about 34,000 square feet and pillar-free, the largest of its kind in the city; Indigo is about 24,000. Encore is the AV partner, and the hotel's own meeting packages tie your included bandwidth to what you spend with them, which is worth reading closely. The pre-function spaces here are big enough to hold registration, and often do, so count your power and network drops out there rather than only in the ballroom.
Manchester Grand Hyatt
A short walk from the Convention Center, 1,628 rooms, and around 320,000 square feet of event space including roughly 140,000 of dedicated indoor meeting rooms. The Grand Ballroom is about 34,000 square feet and pillar-free, with something like 47 breakout rooms and conference suites around it, which is why multi-track conferences end up here. There is also meeting space on the 32nd and 33rd floors that most planners want to see before they book anything else. Encore is in the building. If you are using the upper floors, ask early which service elevators you get and when, because that load-in has nothing in common with the ballroom level.
Marriott Marquis San Diego Marina
Connected to the Convention Center, about 1,360 rooms and roughly 280,000 square feet of event space across more than 80 meeting rooms. That many separate rooms makes it the natural home for everything happening alongside a show: the board meeting, the press room, the hospitality suite, the sales training that runs while the exhibit hall is open next door. It is two towers, so confirm which one your rooms are in before anyone plans a delivery route.
Sheraton San Diego Hotel & Marina
On Harbor Island, closer to the airport than to downtown, which makes it the sensible choice when people fly in for a day and fly out again. The Pacific Jewel Ballroom runs to about 14,400 square feet and the Silver Pearl to about 9,900, and Eventide is an indoor-outdoor space of roughly 20,000 square feet on the water. The property sits on both sides of Harbor Island Drive, so name the building every time you tell someone where to go.
Town and Country, Mission Valley
The largest conference facility in San Diego outside the Convention Center: 295,050 square feet of meeting and event space, about 100,000 of it outdoors, with 671 rooms across a single-level campus and a Grand Hall of roughly 41,000 square feet. It has its own trolley stop and sits about six miles from the airport. The AV partner is Pinnacle Live rather than Encore, which surprises people whose contacts are all downtown. The single-level layout means long flat pushes instead of elevators, which suits us fine, but tell your vendors which loading point they are using.
About the wifi
Hotel guest wifi is sized for people checking email in their rooms. It is shared, often capped and sometimes filtered. For anything that must not fail, registration, payment, a live demo, ask for a dedicated wired connection into your room and price it early, because it is usually the largest line on a venue technology order and the one people leave until last. Ask what the bandwidth actually is, whether it is shared with the rest of the floor, and whether your AV spend changes it, because at some hotels it does.
Six questions before you sign
One email, and it prevents most of the surprises above:
- Who is the in-house AV company, and what exactly do they hold exclusivity on?
- Can we bring our own computers, iPads and phones?
- What does a dedicated wired internet drop cost in our room, and what is the bandwidth?
- Where does equipment get delivered, who receives it, and what are the hours?
- Which service elevators do we get, and are they shared with catering during set-up?
- Is there overnight security in the room, or does everything come out each night?
How we work in these rooms
We are in San Diego, so equipment for these venues is delivered by us rather than shipped. We bring it in on your dates, set it up and take it away afterwards. Machines are imaged to your build before they leave the warehouse, so what arrives is ready rather than a box of laptops and an afternoon of work, and spares come as standard because something always gets dropped. If a venue wants certificates of insurance or vendor badges, tell us early and we will deal with the venue directly.
Where these details came from
Each venue's own published material and the San Diego Tourism Authority's planner guide, read in September 2026. Sources disagree on some figures depending on whether outdoor space is counted, so we have used the conservative numbers and said "about" where it matters. Hotels renovate, rename ballrooms and change AV partners. Confirm anything you are budgeting against, and tell us when something here has gone out of date.
Equipment for this
Tell us what you need and a person replies the same business day. Nothing is booked until you say so.
Tell us what the job is
You don’t need a parts list. Describe what has to happen and we’ll work out the kit, tell you what it costs, and book nothing until you say so.
