What does it cost to rent?

The short answer

Cost comes down to four things: how many, how long, how you need them set up, and where they are going. Of those, the period matters most. A week costs nowhere near seven times a day, and a month costs nowhere near four times a week — so if a job might run long, book the longer period up front and pay less for it.

• One day — events, single meetings, a machine to get someone through tomorrow
• A week — conferences, training rooms, short projects
• A month — the best value per day, and where most business rentals sit
• Ongoing — for anything running past a few months

Why renting usually wins

Buying twenty laptops for a six-week project means finding the capital, waiting on procurement, configuring them yourself, and owning twenty depreciating machines afterwards. Renting means one invoice, equipment that arrives already built to your specification, and someone else’s problem when it goes back.

• Nothing to store, resell or dispose of at the end

What’s included in the price

A lot of what other suppliers bill for separately is simply part of the job here. It is worth counting when you compare quotes, because it is where a cheaper headline rate usually makes its money back.

Ways to spend less

Most quotes have room in them if you know where to look, and we would rather tell you than have you find out afterwards.

• Be flexible on the exact model — one model in quantity costs less per unit than a mixed set
• Book the longer period if the dates might move
• Ask what generation you actually need; last year’s machine is often plenty and costs less
• Price the shipping yourself with our calculator before you call

Order later than you can elsewhere

We are on Pacific time and much of the industry is not. At 4pm in New York a supplier there has closed; here it is 1pm with most of a working day left to image, pack and ship. If your event is tomorrow, that gap is often the difference between equipment arriving and not.
