Questions we get asked
Answers to what customers ask us most. Where the answer is “it depends,” we say what it depends on.
Renting
What is the minimum rental period?
One day. We also rent by the week, by the month, and ongoing for as long as you need it.
Longer periods cost less per day. If you're not sure how long the job will run, tell us. It's usually cheaper to book the longer period than to extend a short one.
Do you hire equipment as well as rent it?
Same thing, different word. “Hire” is how it’s usually said in British and Australian English, and plenty of people searching for equipment here use it, so if you’re looking to hire a MacBook, an iMac, a Surface Pro or a gaming laptop, that’s exactly what we do.
Day, week, month or ongoing, with delivery across San Diego County and shipping nationwide.
How much does it cost?
It depends on how long, how many, how they need configuring and where they’re going, and those affect the price more than the model does.
The rental period has the biggest effect: a week costs much less than seven daily rentals, and a month costs much less than four weekly rentals. If a job might overrun, booking the longer period up front is usually cheaper than extending a short one.
There’s a fuller explanation on our costs page, and you can price the shipping yourself with the calculator on this site before you call.
What do you need before equipment goes out?
Usually one or more of: a credit card security deposit, a purchase order, or a certificate of insurance. Which ones depends on the size of the job and whether we've worked with you before.
Where a certificate of insurance covers the equipment, we may still ask for a card on file to cover the deductible.
None of this is a credit check or an application. A salesperson will tell you exactly what's needed for your job when they quote it.
What happens if I need the equipment for longer?
Tell us before the return date and we'll extend it. Normally the rental moves to the next period: a week becomes two, a month becomes two months. Sometimes we can pro-rate instead, depending on the job.
Call us before the due date and we will work it out with you.
Can I come by without an appointment?
We work by appointment, because every order is prepared before it leaves: imaged, tested, charged and packed. Call or send a quote request first and it will be ready when you arrive.
If you need something the same day, call and we will do our best. An order placed without an appointment is prepared while you wait and carries a rush fee.
Bringing equipment back does not need an appointment, and there is no rush fee on a return or on a scheduled pickup by an established customer.
I'm a new customer. How long does a first order take?
A little longer than it will next time. Before equipment goes out we set up your account and need a deposit or a purchase order, and sometimes a certificate of insurance.
For that reason a first order usually cannot be ready while you wait. Call ahead, or send a quote request, and we will tell you exactly what we need and when it will be ready.
If you are not nearby, or simply short on time, shipping is often the easiest way. We ship nationwide with a return label in the box.
If something goes wrong
What happens if equipment fails during my event?
Call us. A technician will work through it with you first: a good number of machines that seem dead are not, and five minutes on the phone can save waiting for a van.
If it does need replacing, we get a replacement to you by whatever is fastest for your situation: driving it out, shipping it, or shipping it overnight. What that looks like depends on where you are and how urgent it is.
Being in San Diego means that for local jobs, driving is usually an option. For a job in another state it won't be, and we'll tell you the timing up front.
What if equipment is damaged or lost?
We don't provide insurance. Equipment is assessed when it comes back, and if something is damaged you're charged the repair cost, or the replacement cost if it can't be repaired.
That is why a certificate of insurance is sometimes part of the paperwork. Your own policy may already cover rented equipment. Check that before the event.
Getting it to you
Do you deliver, or do you ship?
Both, and which one depends on the job rather than on the distance alone.
Anything outside San Diego usually makes more sense shipped. Some San Diego jobs do too: a few laptops going to an office is often better as a package than as a van visit. Larger jobs, event setups and anything that has to be built on site are usually delivered in person.
We'll tell you which makes sense for your job when we quote it, and what it costs either way.
Can you deliver to a convention center or hotel?
Yes. We deliver to the San Diego Convention Center, hotels across the county, and corporate offices, to the dock and then to your room or stand.
Tell us the venue, the hall or room, and when you can receive it. Venues have their own rules about delivery windows and dock access, so we need to get those details right the first time.
How late can I order and still have it go out today?
Fairly late, because we’re on Pacific time. When it’s 4pm on the east coast, it’s 1pm here, and there’s still most of a working day to configure, pack and get equipment on a truck.
It depends on the job. Forty machines imaged to your build take longer than four off the shelf. Call and ask. If today isn’t possible, we’ll tell you.
How much does shipping cost?
You can work it out yourself. There's a shipping calculator on this site that uses the same rates we use, so you can price a job before you call.
If you'd rather not, put your ZIP into a quote request and we'll include shipping in the price we send back.
Setup and software
Can you load our software before it arrives?
Yes. Many people don't know to ask for this. We load your software, settings and naming convention, and test it here before anything ships.
That saves someone setting up forty machines in a ballroom the night before.
Can rented devices be managed with MDM?
Yes. We’re a Mosyle MSP, so rented Macs, iPads and iPhones can arrive already enrolled: apps pushed, passcodes and FileVault enforced, and a way to lock or wipe a device that goes missing.
If you already run Mosyle, Jamf, Intune or Kandji we enroll them in yours instead, so the machines appear in your own console and leave it when the rental ends.
Everything is unenrolled and wiped when it comes back, so nothing of yours stays on the hardware and nothing of ours stays on a machine you buy.
What happens to our data when we send it back?
Every device is wiped when it comes back, before it goes anywhere else. Nothing carries over to the next customer.
Do you rent Apple and Windows?
Both, from the same phone call. Macs, Windows laptops and desktops, iPads, Android tablets, iPhones, screens, projectors, audio, printers and copiers.
Many customers use us so they don't have to split an order between two suppliers.
Returning it
How do we send it back?
For shipped orders, return labels go in the box. Pack everything back in the boxes it arrived in and hand it to the driver.
For delivered orders, we collect. You don't pack anything.
